Members unable to attend: Buddy Low, Juan Zabala, Ashley Dockens, Heather Reading, Bianca Easterly, and Edward Doan

A meeting was previously scheduled for February 10 and then cancelled due to pending Agency approvals for some of the agenda elements.  Dean provided the following update with the calendar invitation for this meeting:

At present, Mr. Dickerson will be arriving on campus about 2:15.  There will be a Green Room in the University Theatre for him to use.
He will be escorted to Rothwell Hall for the 2:30-3:30 Media Roundtable.  He must exit Rothwell by 3:30 to take care of a commitment in the Green Room, prior to the Student Only Session Q&A.

He will be escorted to the:

Science Auditorium for the 4:00-5:00 Student Only Q&A Session, then the  
Library, 8th Floor for a VIP Reception and Dinner 5:30-7:00, then the  
University Theatre for 7:30-8:30 Lecture, then the
Dishman Art Museum for the Public Reception immediately following, 8:30-9:30.
He will then depart from Dishman to return to Houston.
 

Dean announced the appointment of Bianca Easterly, as the representative from the College of Arts and Sciences, to complete Dr. Westgate’s term (Fall 2018-Summer 2021), due to his retirement.

Dean provided a brief update to what had taken place since the last meeting and correspondence, including that Natalie Tindall will introduce Mr. Dickerson at the Student Q&A, and Craig Escamilla will introduce Dr. Evans at the Lecture, who will then introduce Mr. Dickerson.

Dean also shared some elements he needed the Committee’s help with, prior to and on the date of the event, and some asked about or made recommendations for additional items:

 - Honors Students for the Drawing registration at both events, and as Ushers for the Lecture
 - Form and sign-up sheets for Drawing and Student attendance
 - Golf Cart(s) and Driver – best path – transporting Dickerson
 - LUPD Shuttle(s)
 - Reserved Parking – already reserved 20 VIP spaces through Clayton Harrington
 - Programs need printing (500)
 - Medallion needs to be framed
 - Need note cards and golf pencils for Q&A at Lecture
 - VIP dinner seating chart and catering order will be finalized.

Joe Nordgren offered to help by coordinating the Honors Students participation.  Although unable to attend, Ashley Dockens had previously offered her assistance.

Dean was asked to provide a detailed agenda.  Dean provided the Committee with a Timeline of Events & Details on March 6, 2020, as well as all individuals with a role/responsibility in the event (LUPD, Parking, Chartwells, Media Services, SLIS, Ambassadors, each of the venues, etc.)

Dean thanked the committee for attending the meeting and the meeting adjourned.
